Operations and Marketing Assistant

Role Overview:
As our Operations and Marketing Assistant, you'll play a pivotal role in ensuring the seamless functioning of our real estate operations while actively contributing to our marketing endeavors. This position offers a unique blend of responsibilities, making it an ideal opportunity for someone looking to grow in their professional career and see those efforts directly reflected in the growth of a company. This is a role that we intend to develop into an administrator role.
Responsibilities:
Transaction Management and Coordination
Oversee communications and fulfillment of buyer and seller transaction documents from executed buyer/seller representation agreement to post-closing.
Coordinate inspections, earnest money, and schedule closings.
Maintain open communication with clients, agents, title officers, lenders, and other stakeholders.
Admin/Task Management
Maintain contact database, ensuring accurate and up-to-date information.
Hold team members accountable by following up on assigned tasks and reviewing active and pending files.
Assist in general administrative tasks, including email and calendar management.
Conduct weekly follow-ups with lead conversations and meetups for agents.
Systems and Operations
Oversee daily operations to ensure efficiency and deliver the highest level of customer experience.
Help build, implement, and manage all systems for transaction coordination, internal communication, and client communication across platforms.
Perform quarterly audits of listing and buying packets, booklets, and systems.
Assist in onboarding new agents.
Marketing
Assist with developing and implementing comprehensive marketing strategies aligned with business goals.
Ensure consistency in brand messaging across all channels and assist agents with their branding.
Oversee online advertising campaigns, and develop engaging content for various platforms (social media ads, website, email marketing etc.).
Create and implement templates for use across platforms.
Help to create video content for internal and external use.
Help manage and organize client events
Development
Attend trainings, workshops and conferences to enhance skills and knowledge.
Actively participate in personal and professional development opportunities.
Obtaining your Real Estate license for transaction coordination purposes.

Creative mindset with a keen eye for branding and marketing.
Hard Skills
Proficient in Canva, Descript, Notion, G-Suite/Microsoft, and various social media platforms is a plus.
Experience with Squarespace is a plus.
Bachelor's degree in Marketing, Communications, or a related field is a bonus but not required.
Oral and written proficiency in Spanish and English is strongly preferred.
